Workflow Templates: Frequently Asked Questions

Workflows in Calibo Accelerate define structured approval processes for various activities across different phases of product development. Workflows can be applied at both the global level and the product level to streamline approvals. Workflows help you ensure accountability, compliance, and governance.

Global workflows are approval workflows created at the global configuration level and can be applied across the products to standardize approval processes.
For details, see Designing a Global Workflow Template.

Click Configuration in the left navigation pane.
On the Platform Setup screen, go to Standards > Workflow Templates, and click + New Workflow Template.
Provide a unique name and description for the template, select the desired category (General or DIS) and then, add approval stages and assign reviewers . For detailed procedure, see Designing a Global Workflow Template.

Global workflows can be applied to the following events:
-
Product Portfolio Creation
-
Product Creation
-
Idea Creation
-
User Feedback Creation
-
Policy Templates
-
Product Portfolio Budget
For details, see Enabling Global Workflows.

No, global workflow templates apply uniformly across all products. You can design product-level workflows from a specific product instead.

You can view, edit, and delete global workflow templates from Configuration > Platform Setup > Standards > Workflow Templates. However, a template cannot be deleted if it is already assigned to an event. If the template is in use, it must be removed from associated workflows before deletion. For details, see Managing Workflow Templates.

-
Global workflows: They are created at the platform level from the Configuration section. A global workflow is applied across all products on the platform.
-
Product-specific workflows: They are defined within an individual product's Workflow Designer for specific phases.

You can create a workflow template from the Workflow Designer within a product by defining approval stages and assigning reviewers. For details, see Steps to Design a Workflow from Within a Product

Go to the Workflow Designer within a product. Then on the Access Control tab, locate your desired feature. Select the Develop phase. Enable a workflow for the Add/Delete Technology event. Then assign a workflow template and save your changes. This approval workflow ensures that technology addition or removal undergo approval before implementation.
